When a spreadsheet stops being enough

Business systems · 18 Aug 2026

The early signs that operations have outgrown shared sheets — and what to decide before you buy or build software.

The work still happens. The system does not.

Most companies do not wake up wanting software. They wake up with delays, rework and decisions that depend on whoever last updated a spreadsheet.

That is usually the moment to pause — not to buy a platform, and not to commission a custom build on instinct. First clarify which parts of the work are standard, which are unique, and which failures actually cost money.

What to decide first

  • Which workflows are blocking revenue or delivery today?
  • What data must stay consistent across teams?
  • Where a proven product is enough — and where it will fight your process?
Software should remove friction from the business, not freeze a broken process in place.

Once those answers are clear, the choice between product, custom engineering or a blend becomes much easier to defend.
